How to Copy, Import & Sync Courses, Sections, and Learning Activities in LearnWorlds

This feature allows you to copy, import, and synchronize course content such as full courses, sections, and individual learning activities. It works within the same school or across multiple schools under the same LearnWorlds Organization.


This feature brings value by saving time, ensuring consistency, and streamlining course management across multiple schools or courses.

You can sync courses across up to five schools in the same organization, as long as at least one of those schools is on the Pro Trainer plan (or higher) and has purchased the Course Sync add-on.


Copy and Paste Sections

You can copy a course's section and paste it within the same course or a different course destination.


1. Navigate to your course and hover over the section you wish to copy in the Contents tab.

2. Use the Copy section & Paste section below buttons accordingly to copy and paste a whole section within the same or a different destination course.

Your content will be duplicated below the paste location.


You can simultaneously open both courses (original and destination courses) on the same browser to complete the copy/paste action of the section. 

Copy and Paste Learning Activities

Similar to copying/pasting a section, you can also copy and paste Learning Activities individually. You need to:


1. Go to the Courses menu.

2. Navigate to your course and hover over the learning activity you wish to copy in the Contents tab.

3. Use the Copy learning activity and Paste learning activities buttons correspondingly to copy and paste a learning activity within the same or a different destination course.

Your content will be duplicated below the paste location.


Import Courses

You can import entire courses between schools within the same organization, syncing content and layouts. To import/clone courses from one school to another:


1. Log in to the destination school.

2. Navigate to Courses Course Manager  Import course.

3. Select the originating school and the specific courses you wish to import. You can select multiple courses with the “Custom list…” option.

4. Click on Import.


Import Sections

Sections can be imported from any course, either in the same school or in another school within the organization.


1. Click Import Section.2. The respective Import Sections panel will pop up. 


Select single or multiple sections to be imported from the same or different course/s. This action will import the whole section and its learning activities.

  • When you paste or import a section, it keeps the original settings like the section’s title and description. However, the new section will always start as Draft.
  • The copied/pasted or imported elements are given the prefix Copy of plus the retained "original title" name.
  • If the original course had Drip feed by date enabled, the drip date will be removed during the import or paste, so there will be No date specified. You’ll need to manually set a new drip-feed date for the section.

  • If the original course has Drip feed by date enabled, the original drip date will be stripped and there will be No date specified. The admin will need to edit the pasted/imported section/s and select a drip-feed date anew. The subject and body of the Email Notification are also copied or imported, but they stay deactivated. You’ll have to activate them manually.


Import Learning Activities

You can import individual learning activities to your created courses. On a learning activity level, click on Import activity under the desired section. 

In the Import Learning Activities menu, expand the section to reveal the learning activities and select the ones you wish to import.

If you wish to import all the learning activities of a section, click on the section itself, and all the respective learning activities will be selected.


  • When you import a learning activity, it keeps all its original settings and features. For example, if it’s a Video learning unit, its interactive elements will also be copied.
  • If you want to host the same live session in multiple courses, you need to import and sync the Zoom learning activity from one course to the others. This way, the Zoom session will stay the same across all courses that include the synced activity. The same process applies if you clone and sync an entire course that has a Zoom learning activity — the Zoom session will remain consistent in all synced courses.

Sync Course (Content and Layout page)

Synchronization lets you link content across multiple locations so that updates in one place are reflected everywhere.

To sync the content and/or the layout page of a course from one school to another:


1. Log in to the destination school.

2. Navigate to Courses Course Manager  Import Courses.

3. Choose whether to synchronize only the course content, the course layout page, or both. For each selection, a pop-up message will provide details on the information to be synchronized and will seek your consent. 

4. Click on Import to complete the synchronization process.

To sync a course within the same school, start by cloning it from the Course Manager. To clone and sync the course within the same school:


1. Log in to the destination school.

2. Navigate to Courses  Course Manager  hover over the three dots in the course you want to sync and click on Clone Course

3. Choose whether to synchronize only the course content, the course layout page, or both. For each selection, a pop-up message will provide details on the information to be synchronized and will seek your consent. 

4. Click on Clone course to complete the synchronization process.

If you choose to clone a course that includes a Zoom learning activity and then sync the two courses, the Zoom session will be the same one in both courses. To avoid this, you can unsync only this specific activity.

Sync Sections and Learning Activities

When synchronizing a course across multiple schools or within the same school, the synchronization primarily involves the content within the Contents tab, including sections and learning activities. However, there may be instances where you specifically want to import and sync an activity or a section either from another school or the same school.


In such cases, you have the option to import and synchronize the corresponding activities or sections from either another school or the same school. To import and sync an activity:


1. Log in to the destination school

2. Navigate to Courses  Course Manager and choose your course.

3. Under the Course outline tab, click on Import activity select the school the course you wish, and select which activity or activities you wish to add.

4. Define if the selected activities will keep in sync with the source ones.


  • To avoid issues, we highly recommend not working on the import and sync features in multiple open tabs in your browser.
  • Users and their progress are not transferred during the cloning or syncing process. If you need to transfer users and their progress, you must export them from the initial school, import them into the new school course, and manually update their progress.
  • Syncing is available between a live school and a sandbox school, provided they belong to the same organization.

Live Sessions synchronization

For any live session learning activities: 

  • Cross-school synced live session activities are not supported; however, syncing across the same school is supported.
  • Recurring meetings and synchronization are inherently incompatible. In essence, attempting to convert a synchronized meeting into a recurring one is not feasible.
  • In the admin calendar, you will only see the event once; however, in the upcoming previous list, you can see all synced peers (all synced activities).

Import/Sync permissions

  • Organization owners and super admins can import synced resources between the schools they manage and edit them anytime, with changes updating across all synced pages—even if they don’t have access to every page.
  • School admins can import synced resources only within their own school. They can edit these resources as long as they stay synced inside that school, and their changes will update all synced pages.
  • Once a resource is cloned across multiple schools, only a super admin, the organization owner, or someone with editing rights on the original resource can edit it.

Levels of Synchronization

At the page level, both the page content and any custom code are synchronized. At the course level, syncing includes all course content, but it does not cover settings in Access, Pricing, Settings, Course Player, Video Library, or Dashboard. For a complete list of what is synchronized, refer to the detailed table below.

Course content
Sections and units undergo synchronization in terms of content, and the order of sections and activities is also synchronized. Any new sections or activities added to the course content also populate across all synchronized peer courses

SectionWhen a section is synced, both the activities it contains and their order are synchronized. Any new activities added to the section populate all synchronized peer sections. The section name and description also undergo synchronization.
Note: The section's access status and drip details do not synchronize.
Learning ActivityWhen an activity syncs with other activities, its content undergoes synchronization. This includes the activity's name, description, image, icon, password protection rules, digital downloads, and specific content, e.g., the PDF uploaded if a PDF unit or the questions and settings of an exam activity.
Note: The completion rules of the activity and the Set the Activity as a prerequisite feature do not synchronize. 

Unsync Course

Should you reconsider syncing a course with others, the unsynchronization process can be initiated either from the Courses Manager or within the course environment. 


1. Navigate to the Course Manager, hover over the course, and under the Sync info click on Unsync course

Choose if you want to Unsync all contents (Unsync all content, including sections and activities of this course. Peer courses will remain synced) or Unsync the course level only (Sections and learning activities within the course will remain synced. Peer courses will remain synced) and click on Unsync.


2. Navigate to the Course  Course outline and click on Sync info

Choose if you want to Unsync all contents (Unsync all content, including sections and activities of this course. Peer courses will remain synced) or Unsync the course level only (Sections and learning activities within the course will remain synced. Peer courses will remain synced) and click on Unsync. 


  • When a course is unsynced, it is detached from the synchronized peer group (courses synced to that specific course). Consequently, if there are 10 courses synced, and you choose to un-sync one, the remaining 9 courses will remain synchronized.
  • If you delete a course whose content is synced with other courses, the synced activities will become unsynced, but they will not be removed from the other courses.

Unsync Sections and Learning Activities

To un-sync a course section, navigate to your course, hover over the section, and click on Sync info. Choose if you wish to:

 

  • Unsync section and activities (Unsync the section and all the activities contained. The peer sections will remain synced. The course will also be unsynced).
  • Unsync section only (Unsync the section only. The activities contained will remain synced. The peer sections will also remain synced. The course will also be unsynced).


To un-sync a learning activity, navigate to your course, hover over the activity, click on Sync info, and Unsync activity.
