Managing AI Credit Usage in LearnWorlds Assessments

LearnWorlds has designed a clear, proactive process to handle AI credit exhaustion, so learners aren’t confused mid-exam, instructors know when to step in, and admins can act before disruptions occur.

This article explains how AI credit exhaustion impacts exams and assignments, and how LearnWorlds notifies admins, instructors, and learners to minimize disruption. From email alerts to in-platform messages, everyone stays informed.

Admin Notifications

Admins receive email alerts when AI credits drop below certain thresholds:

  • When credits are ≤ 50:

An email is sent with the message:

"Heads up! You have 50 or fewer AI credits left. Learners will soon stop receiving AI assistance."

  • When credits reach 0:

An email is sent with the message:

"You’ve run out of AI credits. Learners will not be able to use AI features until credits are replenished."

Each alert is only sent once per threshold to prevent repeated notifications.

When credits are fully depleted, learners trying to use AI features will see a message prompting them to contact support. If the activity involves AI-reviewed assignments, these are automatically routed to manual review due to a lack of credits.

Learner Experience When AI Credits Run Out

Learners receive clear messages depending on the AI feature they’re using. These messages explain the situation and include a “Contact Support” button to reach out for help.

Feature

What Learners Experience

AI-Reviewed Text AssignmentsSubmission is accepted and sent for manual review. No message is shown to the learner.
AI Guided Dialogue – FormsThe AI-generated follow-up is skipped. A message is shown, but the learner can still submit the form.
AI Guided Dialogue – ExamsIf the AI question is mandatory, the exam is paused, and a message appears. If optional, the question is skipped with a message.
AI Feedback AssistantThe assistant remains visible, but doesn’t function. When the learner tries to use it, a message appears instead of feedback.

Support Contact Workflow

When learners click “Contact Support”, they’re redirected to their school’s internal messaging system. A support message is automatically filled out, which:

  • Explains the issue based on the learner’s activity (exam, form, assistant).
  • It is sent directly to the assigned instructor or admin if no instructor is assigned.

Instructor Visibility and Manual Review

  1. When AI-reviewed assignments can’t be scored due to exhausted credits, they are automatically routed to the manual review center.
  2. Instructors are notified that the submission needs manual review due to low or zero credits.
  3. This ensures that instructors know it’s a system limitation—not the learner’s fault—and can take action accordingly.

FAQ

1. How will I know if my school is running low on AI credits?

Admins get email alerts at two levels: 50 credits and 0 credits.

Learners can also alert admins by using the Contact Support button.

Instructors are notified when they receive exams or assignments for manual review.

Admins can also check this in the school dashboard.

2. What happens to learners if credits are depleted during an activity?

They see a clear message explaining the issue and are either allowed to continue or blocked, depending on the feature.

For example, during an exam, a message like this may appear:

"A temporary issue is preventing your progress. To continue your exam, please contact support."

3. Where does the support request go when a learner clicks “Contact Support”?

The learner is taken to the school’s messaging system. A pre-filled message is sent to the school’s support team automatically.

4. Will learners be notified if their submission isn’t scored by AI?

No. Learners are not notified. Instructors, however, will see that the submission needs manual grading due to lack of AI credits.

5. Can learners continue an exam if an AI question fails?

Yes—unless the question is marked as mandatory.

If it’s mandatory, the exam pauses, and the learner must contact support to continue.

6. Can instructors see that manual grading is required due to low AI credits?

Yes. Assignments that can’t be auto-scored due to low credits are flagged clearly in the review center.

7. Do support messages vary depending on the feature?

Yes. The support message is customized depending on the activity (exam, form, or assistant) to help school staff quickly understand the issue.

8. How can I get more AI credits?

Currently, you can get more AI credits by contacting LearnWorlds support.

We’re also working on a self-service add-on to make it easier and faster to purchase credits.
