This article will show you how to connect your Zapier account with your LearnWorlds school in just a few steps. The process is quite easy so don’t worry. This online automation tool will be connected with your LearnWorlds school before you even notice, so you can focus on your most important work. 

Once you click on the link you have received from LearnWorlds you will be redirected to the following page. In order to continue, click on “Accept invite & Build a Zap”.

That’s it! Now you can use Zapier to automate your LearnWorlds school!

Are you ready to create your first Zap? Now you will see how easy it is to connect your school with really handy applications, in order to save yourself time without needing any help from a developer. 

A Zap usually consists of two parts: the Trigger, i.e. the when the zap is activated, and the Action, i.e. what the zap does. 

For example, you can create a zap so that every time someone buys a course in your school (trigger), you can email them a discount coupon for their next purchase (action) or you can store their details in your CRM system (another action) or you can email them or your accountant an invoice from your accounting system (yet another possible action). 

I am sure that as your school grows, and as your marketing stack grows with more advanced tools and techniques, you will find yourself needing more and more time and more automated actions in order to have the control of everything. 

So let’s create a simple zap together, from start to finish. The zap we are going to create does the following:

  • [trigger] Every time a new product is bought

  • [action] Your accountant receives an email with the invoice details

Why losing time on searching when a student of yours has changed his profile details (trigger)? Or if he has been awarded a new Certificate (trigger)? When you can be notified each time by a simple mail.

  Let’s get started! Just click on the “Make a zap” button.

Let’s make now the first step to creating your new zap by finding your Trigger App, (in this case the LearnWorlds app) through the search engine. After the first zap, your LearnWorlds application will be there by default (no need to search it).

Once you click on Learnworlds Trigger App you will see 5 available triggers: 

1. When a Product is Bought 

2. When a User is Registered

3. When a User Profile is Updated

4. When a Certificate is Awarded

5. When an Email Lead is Captured

Choose one of the five options and click on “Save + Continue”. We will proceed with the trigger “When a Product is bought”

Now you are ready to connect your account so click on the respective button.

On the next step, you add your email and the password provided by LearnWorlds and click on “Login” button.

Click on “Authorize” button.

Great! Your LearnWorlds account is now connected to Zapier. Click on “Save and Continue” button.

You are almost ready! In order to check your trigger click on “Fetch & Continue” button. Please make sure that there is at least one recent purchase in your school. 

Congrats! You’ve just completed the first step. Click on “Continue” button to continue with “Action”, the second step.

Now it’s time to set the Action App you want. The only thing you need to do is to type in the box the name of the App you wish and a drop-down menu will appear once you enter the first letter.  In this case, we will proceed with Gmail. 

On the next step there are available 5 actions:

1. Create Draft

2. Send Email

3. Add Label to Email

4. Create Label

5. Find Email

Select the one that meets your needs and click on “Save + Continue”. For this example, we choose “Send Email”.

On this step, you click on “Connect an account” in order to connect your Gmail account from where the emails you want will be sent. 

If you are already logged in your Gmail account it will appear as an option, otherwise, you have to click on “Use another account”. 

On the next step once you click on “Allow” button you allow Zapier to: view and modify your emails but not delete them, manage drafts and send emails

Click on “Test” button in order to ensure that everything is set up well.

Congrats! Everything is good so you just click on the “Save + Continue” button.

Now it is time to set up the email your accountant will receive once a learner purchases a product from your school. Please note that you can activate or deactivate the “Set up preview” if you want to see an example of the fields or not. In the box “To” you can add your accountant’s email.

Fill in the text boxes as you wish (here you can see a sample).

Once you are ready click on “Continue” button.

On the next step just fill the Zap name and make sure that your zap is on. Congrats! Your first zap is ready! From now on everytime someone purchases a product from your school your accountant will receive an email with all the details he needs regarding the invoices. :)
