How to Add a New User - Search Users

We’re rolling out a major upgrade! If you started your trial on or after June 2, 2025, you’ll notice some exciting new features as part of our latest release. Some articles already reflect the new experience, while others are being updated.


Learn how to manually add new users to your LearnWorlds school and search for existing ones efficiently using filters, tags, and advanced search options.


Add a new User

To manually add a new user to your school:

1. Click on UsersAll Users and click on Add User.

2. Fill out the needed information for the new account: 

  • User Details: Update the user's username & email. 
  • User role: Manage the user's role based on the Administrative, Instructional, and Reporting role levels as well as Affiliates. The User Roles are available in our Learning Center plans or higher.
  • Enroll in products: If an account has a User role, you can enroll them in more than one product simultaneously.
  • User tags: Add or remove a tag from the user
  • Validate that the user has given consent to receive emails from this school (when the GDPR is enabled
  • Sign-up Validation rules: By enabling this option, you choose to bypass registration constraints for users. For instance, if your school requires email verification, selecting this option when adding a new user will automatically mark their email as verified, bypassing the usual validation process.

3. Click Add User to complete the process.


Enrollment Tab

Once you click Enroll to Products, you are taken to the second tab called Enrollment. Here, you can configure how the user will be enrolled in products, as well as customize related options. Specifically, you can:

  1. Select Products

    Choose the products you want to enroll the user in by selecting them from the Products dropdown.

  2. Edit Expiration Date

    Set a custom expiration date for each product. You can either define a specific date or a custom time period (days, weeks, or months).

    If you set a custom time period, it starts counting from when this action is applied.

  3. Create a Payment Record

    Decide whether to create a payment record for this enrollment.


    Note that if you enroll the user in multiple products, a single payment record will include all selected products.

  4. Edit Enrollment and Completion Preferences


    Choose whether to send the enrollment email and/or payment email to the user.


    Optionally, mark the course(s) as completed and choose whether to send a course completion email.

  5. Add Additional Notes

    Add internal notes for your reference. These notes are visible only to you and not to the enrolled user.


User Roles Tab

You can also create a new user (and assign a specific role simultaneously) via the User Roles page.

  • An activation e-mail will be sent automatically to the new user, asking them to set up a password for the account. The email link is valid for 1 month.
  • If you wish to add more than one user to your online school, you can Bulk import them.

Search for Users

Once you’ve added users, you may need to find specific ones using the search feature. To do so, in the search box, you can type the name or e-mail of a user. You can use filters to specify the Product, Date, Role, or Status of the user to limit your search.

  • You can also search users by tags. To do so, click on the Tag filter option, and all the available tags will appear.

For detailed searches, use the Advanced Search option to apply filters related to Users, Courses, Social features, or UTMs. You can also export the user report (available to Learning Center plans or higher) directly from the top ribbon.
