AI Consent Mechanism in LearnWorlds

LearnWorlds provides an AI consent mechanism (for end users) that allows school administrators to define how AI-powered features are disclosed and used within their academy. This ensures schools can meet privacy expectations and comply with institutional or regulatory policies.


Admin Configuration

To enable this setting, navigate to Settings →  Integrations  AI →  AI Consent & Privacy Settings

Consent Display Options:

  • Show label with disclaimer and request consent
    -Learners are prompted to give explicit consent before AI interaction.
    -If consent is denied, the interaction is blocked.
  • Show label with disclaimer, but do not request consent
    -Learners see a notice that AI is being used.
    -Interactions proceed normally without requiring consent.
  • Do not show label with disclaimer nor request consent
    -Learners are not informed about AI use.
    -Admins are fully responsible for regulatory compliance.


By default, the "Do not show label nor request consent" option will be enabled.


Customizations

Part of the disclaimer and prompt messaging (shown below) can be customized via the author/translations page in the admin panel. Navigate to Settings →  School Settings →  Site language 

Learner Interaction and Consent Flow

When the "request consent" option is enabled, learners encounter AI features in:

  • AI-Guided Dialogue Questions
    Used in forms, self-assessments, and exams.
  • AI Feedback Assistant
    Shown after exam submission if the feature is enabled.


Consent Prompt Options:

  • Always allow – stores consent preference and avoids future prompts.
  • Allow once – grants one-time access; learners are asked again later.
  • Do not allow – blocks AI use; learners are asked again next time.


Learners can change their decision at any time by clicking the AI-powered label that appears alongside AI features.What Happens If a Learner Denies Consent

 Instructors can view which questions were not answered due to a lack of learner consent in the Responses tab of the exam results.


FAQ

1. Where do I enable or disable AI consent settings for my school?

 -Go to Settings → Integrations → AI → AI Consent & Privacy Settings.


2. What happens if my learner denies consent in an exam with AI-guided dialogue?

- The question is skipped and automatically graded with zero points. The learner can continue the exam normally.


3. Can I customize the disclaimer message shown to learners?

-Yes, parts of the message can be edited in the /translations section of the admin panel.


4. How can a learner change their mind after denying consent?

- They can click the “AI Powered” label wherever it appears and update their choice.


5. Is LearnWorlds responsible for learner-AI compliance?

 -No. LearnWorlds provides tools to help customers comply with learner and customer regulations.


6. Do learners need to give consent every time?

- Only if they select "Allow once" or “Do not allow”. If they select "Always allow," their preference is remembered.


7. Will AI features work if the learner doesn’t interact with the consent prompt?

- No. If consent is required and the learner ignores or declines it, the AI feature is blocked.


8. Is this applied across all courses and content types?

- Yes. The AI consent setting applies across forms, self-assessments, exams, and post-exam feedback features where AI-powered learner tools (AI-guided dialogue, AI feedback assistant) are enabled.


9. Can instructors tell which learners didn’t give consent?

- Yes, in the Responses tab of the exam, instructors can see which questions were not answered due to a lack of consent.
